Background Check Expiration Workflows


For sites with a background check integration, the system can now automatically re-run background checks X number of days after they were last completed.  This feature can only be configured by Support.  Please reach out to Support if you are interested.


Adding Legacy Hours


VolunteerHub now has a method for adding legacy hours into a user's Hours total.  The method requires adding a 'Number' question to the User Form and then contacting Support to finalize setup.  Once set up, any number entered into the field is automatically added to the user's Hours.  This cumulative total hours display within reports showing a user's total hours but do not display as hours associated with any event.  If you already have a 'legacy hours' User Form question and would like this feature enabled, Please reach out to Support.


Notes: 

  • Legacy hours added to a user have no impact on that user's Active status (as used for billing), only registering for an event marks an account as Active.  
  • Legacy hours do not sync with an integrations (e.g. Salesforce).
  • Legacy hours do impact "User Achieves Number of Hours" Workflows.


Reports Page Defaults to Custom Reports


The Reports page now displays Custom Reports when first accessed.  The Formatted and Unformatted 'legacy' reports are accessible through buttons at the bottom.

Accessing legacy reports displays the older interface.


Hyperlinks in Custom Reports


Some elements within Custom Reports now display as hyperlinks.  Clicking the hyperlink navigates to that item within the system.  Clicking a username brings up that user's profile, clicking an event name brings up that specific event, etc.


This can be helpful when wanting to make changes; for example, locating a user in a report with incorrect hours for an event, now clicking the event in the report goes directly to that event for an admin to then modify.


The following are elements now displayed as links:

    • Username

    • User Group

    • Event

    • Event Group

    • User ID

    • Event ID


New 'Permissions Setup' Report


The Permission Setup Report now displays on all sites with the Advanced Permissions module.  This report displays all the permissions set on User Groups within the site.  Previously this information was only available by contacting Support.  The report is only accessible to administrators with the ability to view User Groups.


This report displays the name of the User Group, the permission, whether the permission is allowing or denying, and the event/user group the access is being granted.  It includes both volunteer permissions (e.g. who can see/sign up for which event groups) as well as administrative permissions (e.g. which admins have control of which events/users).


Uploads Now Included On All Plans


The Uploads module was previously not included across all VolunteerHub plans, but is now standard.  Click here to learn about this feature.


Uploads File Size Increase


Files up to 5mb can now be uploaded, the previous limit was 2.  There is no limit to the number of unique files


Easier Ability to Insert Images


The process to insert an image into a text box (i.e. within a landing page or event/template) has been simplified.  Previously images had to be linked to a source, either from another website or one previously uploaded to the Uploads page.


From within a text box, click the ellipsis button followed by the 'insert image' button


From here, there are three ways to insert an image:


From a Source

If adding an image that already exists on the internet (e.g. one posted on your website), you may paste the source into the Source box (this is the legacy method)

    

A Previously Uploaded Image

If the image has already been added to your Uploads page, it displays within the 'Image list' dropdown and can be selected

    

Inserting a New Image

Navigate to 'Upload' and then either browse for the image or drag-and-drop into the box

    

Inserting a new image adds that image to the Uploads page and adds to the 'Image list' going forward.


Once an image is uploaded, the filename cannot be modified.  Best practice when adding new images is to ensure the file already has the desired name prior to uploading.


Should you have images existing on your site and wish to change the name, follow these steps: 

        1. Save the image on your computer with the Name you want to display

        2. Navigate to Uploads and find the file

        3. Click the 3-dot menu to the right and choose Replace File

        4. Browse to the file from Step 1 and click Upload


Now the new name will appear in the Image dropdown list and any previous usage of the image remains intact.


Bug Fixes:

  • Square logos were previously being cut off on the Sign-In page, this has been resolved.
  • Upon joining a waitlist the system was displaying that the volunteer's registration was complete, it now informs them that their waitlisting is complete.
  • Admin View filtered calendars were sometimes displaying events outside a set range; this has been resolved
  • Resolved issue where users part of a User Group with a fully-reserved reservation were still seeing 'None of the above' as their group option, even though it was not selectable.
  • If a Landing Page isn't set to allow for Social Media Share links, they no longer display on Registration Complete page.
  • Resolved issue where the text of the Registration Complete page was being cut off on some mobile devices.
  • Resolved issue where numbered lists were not displaying properly on some mobile devices.
  • If the user has opted out of Registration emails, the 'Email me this information' link is back on the Registration Complete page.
  • An event's location is now displayed on the Registration Complete page.
